People who contact us or enquire about our workflow service for accountancy practices.
People at businesses we contact about that service. We contact UK limited companies and other businesses using business contact details, such as a published business email address or a role at a practice.

What we collect and why

Enquiries: your name, business email, practice name and what you tell us. We use it to reply and to assess whether our service fits. Lawful basis: legitimate interests (responding to a business enquiry), or steps at your request before a contract.
Business contact details used for outreach: name, role, practice name and business email from public sources such as Companies House, a practice's own website or a professional directory. We use them to send a small number of relevant, personalised messages about our service. Lawful basis: legitimate interests. We have assessed that this is proportionate for a business-to-business contact in a relevant role, that the message relates to their professional activity, and that they can opt out at any time. We do not send marketing to individual consumers or sole traders using personal addresses.
Client work: if you become a client, we process the data in your inbox and document store only as your data processor, under a written agreement, to run the agreed workflow. We access only what the agreed checklist needs, and delete our copies when the engagement ends.
Website: basic technical data (IP address, browser, pages visited) held by our hosting provider to keep the site secure.

Opting out

Reply STOP to any message, or email [email protected] with the subject "unsubscribe". We will stop contacting you within one working day and keep your address on a suppression list, so that we do not contact you again.

Who we share data with

We do not sell personal data. We use service providers to run the business: Cloudflare (website hosting), Zoho (email), and, for client work only, the software your practice already uses and AI model providers under terms that do not allow them to train on your data. Where a provider processes data outside the UK we rely on an appropriate transfer mechanism such as the UK International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework.

How long we keep it

Enquiries and prospect details: up to 12 months after the last contact, then deleted, except a suppression record if you opt out.
Client engagement data: deleted within 30 days of the engagement ending unless a contract says otherwise.
Invoices and accounting records: 6 years, as required for tax.

Your rights

Under UK data protection law you can ask to see, correct or delete your data, object to our use of it, and ask us to restrict it. Email [email protected]. You can also complain to the Information Commissioner's Office at ico.org.uk.
